Printable toolkitFictional case: a director is considering an evening community room program. The first month has a $2,000 donation, but later funding is undecided.
Prepare a short decision note with the first-month balance, the three-month funding gap and a review before any extension.
Monthly cost is $1,500. The first month leaves $500 of its $2,000 donation; that balance cannot be assumed available later. Three months cost $4,500, with $3,000 needed for months two and three under the stated restriction. Recommend a clearly bounded first-month test only if the director approves. Review attendance, participant preferences and paid workload before offering an extension with identified funding.
Add the date by which the director must decide about month two.
The donor confirms the unused $500 may fund month two. No other new funding is available.
Update the funding gap and the extension request.
The two later months need $3,000, of which $500 is now available; the gap is $2,500. Month two alone still needs $1,000 more. Ask the director to fund the gap or approve a smaller program with clear paid coverage and a new invitation.
