Printable toolkitFictional case: a supervisor wants to add room-booking calls to a receptionist’s shift. The receptionist asks which existing task will move.
Draft a response, a capacity check and a question for the local process owner.
“The current tasks already use six hours. Let’s list the new hour separately and review what could move before assigning it.” Share a proposal through the worker’s agreed channel for review with their chosen support. Ask the local process owner what consultation is needed before changing the plan. The schedule owner must confirm coverage and paid time.
Add the owner and date for a written response to the worker’s question.
The manager cannot fund an extra hour this week.
Revise the proposal without shifting the hour into unpaid work.
Ask the schedule owner which existing task could be deferred or reassigned with confirmed paid coverage. If none can move through the checked process, keep the calls out of the current plan and ask the manager to revise the scope. Return the answer to the worker and their chosen support as agreed.
