Printable toolkitFictional case: a colleague asks a workplace representative for help discussing a room-booking workload change. They want predictable task time and a short written response.
Draft a meeting plan: the worker’s goal, information-sharing choice, two questions and the process check.
Confirm the colleague’s goal and what, if anything, may be shared. Ask who receives a request under the current local process and how the colleague wants support. Questions: “Which tasks are included in the allocated time?” and “Who can approve paid preparation time?” Ask for an agreed response date and let the colleague review the summary before it is circulated.
Rehearse the opening with a peer and replace one assumption with a process question.
The colleague wants a private preparation call first and asks you to send nothing yet.
Revise the next step and your record.
Arrange the private call through the agreed channel. Keep the draft with the colleague, record that no sharing is authorized, and ask which questions they want to prepare. Confirm any later sharing before sending.
